The payroll process can be complicated. But it doesn’t have to be when you have an expert on your side.

Managing payroll effectively requires more than just processing paychecks—it demands expertise in navigating the complex web of federal and state-specific requirements.

Starting at $150 per month

What’s included: All price plans / payroll schedules include withholding federal taxes, remitting Social Security / Medicare / federal withholding via EFTPS, and filing federally mandated forms 940, 941/944, and W-2s.

All prices cover full payroll service for up to 5 employees. Every additional employee is $10 per month.

How does the Payroll Process work?

Easy peasy.

The way the payroll process works is summed up as follows:

1. You send me your employees’ hours and/or salary.

2. I send back a PDF check stubs that can be printed on check paper.

3. You deliver the checks to your employees.

4. I schedule a payment for federal withholding, Social Security, and Medicare out of your account.

5. Lather, rinse, repeat.

Do you offer Direct Deposit?

Certainly.

It does, however, require a bit more effort and coordination.

When generating a paper check, I can often do it on the same day the request is made. However, due to the time it takes for the banks to process the deposit, Direct Deposit requests can take between 2-4 business business days to process. This means that if you want your employees to be paid on the 5th, I would need their pay info (hours worked, salary, etc.) no later than the 1st to ensure timely delivery.

Additionally, while Inkblot doesn’t charge anything extra for Direct Deposit, there may be fees imposed by the bank or ACH processor. I have no control over these fees, and their amounts vary depending on the financial institution.

Do you work with QuickBooks Payroll?

Yes, but it isn’t my preference.

QuickBooks is fantastic as a bookkeeping platform. However, I find their Payroll service to be unnecessarily complicated, and prone to making mistakes when calculating payroll liabilities. It’s next to impossible to make necessary adjustments after the fact, and most importantly, I’ve seen QuickBooks Payroll promise things it doesn’t ever deliver on.

That being said, if you’re committed to using QuickBooks Payroll and need assistance with payroll, I’m happy to work with you in that capacity. Instead of paying the pricing structure explained above, I charge an hourly rate for the time invested in the payroll process.

Do you file Washington State’s quarterly payroll taxes?

Absolutely.

I handle all aspects of payroll management, including your Washington State quarterly filings. This includes Worker’s Comp, State Unemployment, Paid Family and Medical Leave, and the WA Cares fund.

Additionally, because these taxes are due quarterly but accrue each time an employee is paid, I will provide you with ongoing estimates of what the final cost of all taxes will be, so there’s no “sticker shock” when it’s time to file.

This service is billed at an additional $50 per month. It’s not required to be a payroll client, but highly recommended. You are welcome to file the quarterly reports on your own if you prefer.

Do you offer payroll for businesses outside of Washington State?

Tentatively, yes.

All of my current clients are businesses based in Washington State. I would need to know the specific state you’re operating out of, so I can have time to research that state’s filing requirements. This is because the process for federal payroll tax is the same nation-wide, but each state has different state requirements for things like Worker’s Comp and State Unemployment.

Do you handle Prevailing Wage reporting?

Yes!

A number of my clients are in the construction industry, so this question comes up fairly often. I have filed many prevailing wage Intents and Affidavits, and am very familiar with the process.

Due to the fact that prevailing wage requests can vary so much in terms of complexity and time investment, I do not have a set fee for handling prevailing wage. Instead, I charge hourly for the amount of time it takes me to process the request.
